Event Terms & Conditions

These Terms & Conditions apply to all attendees, delegates, sponsors, exhibitors, speakers, partners, and visitors (“Attendees”) participating in any conference, exhibition, networking event, webinar, awards ceremony, digital event, or related service organised by Roar Media Limited (“Roar Media”, “we”, “us”, or “our”).

By registering for, purchasing a ticket for, attending, sponsoring, exhibiting at, speaking at, or participating in any Roar Media event, you agree to be bound by these Terms & Conditions.



1. Event Registration and Ticket Purchases


1.1 All registrations and ticket purchases are subject to availability and acceptance by Roar Media.

1.2 Tickets may not be copied, reproduced, transferred, resold, or used for promotional, competition, or commercial purposes without prior written consent from Roar Media.

1.3 Roar Media reserves the right to refuse, cancel, or withdraw any registration or ticket at its sole discretion.

1.4 Tickets remain the property of Roar Media until full payment has been received.

1.5 Entry to the event may be refused where payment has not been received in full.

1.6 Attendees must ensure that all registration information provided is accurate and complete.



2. Pricing and Payment


2.1 All prices are stated in GBP (£) unless otherwise specified.

2.2 VAT and other applicable taxes will be charged where required.

2.3 Full payment must be received in accordance with the agreed payment terms and prior to the event unless otherwise agreed in writing.

2.4 Roar Media reserves the right to amend pricing, ticket categories, promotional offers, or package inclusions at any time prior to purchase.

2.5 Promotional, discounted, complimentary, or partner tickets may be subject to additional eligibility requirements or restrictions.



3. Cancellations, Refunds, and Substitutions


3.1 All ticket purchases are non-refundable unless expressly stated otherwise in writing.

3.2 If an attendee is unable to attend, a substitute attendee from the same organisation may attend in their place, provided written notice is supplied to Roar Media no later than 48 hours before the event.

3.3 Substitution requests must include the replacement attendee’s full contact details.

3.4 Roar Media may, at its sole discretion, consider refund requests in exceptional circumstances, including serious illness or other extenuating situations. Supporting evidence may be requested.

3.5 Failure to attend the event does not entitle the attendee to a refund, credit, or transfer unless otherwise agreed in writing.

3.6 Refunds, where approved, shall be limited to the amount paid for the relevant ticket only.



4. Event Changes, Rebranding, and Cancellation


4.1 Roar Media reserves the right to:

  • amend the event programme or agenda,

  • change speakers or moderators,

  • alter session content,

  • change the venue or digital platform,

  • amend event timings or dates,

  • alter catering or ancillary services,

  • change the format of the event (including conversion between in-person, hybrid, or virtual formats),

  • rebrand, rename, or otherwise change the identity or marketing of the event,

  • postpone or cancel the event where reasonably necessary.

4.2 Any changes made under this clause shall not constitute a material change to the event and shall not entitle attendees to refunds, compensation, or damages.

4.3 Tickets purchased shall remain valid notwithstanding any:

  • event name change,

  • branding update,

  • rebrand,

  • format adjustment,

  • agenda amendment,

  • speaker change,

  • or marketing alteration.

4.4 Roar Media shall not be liable for any travel, accommodation, subsistence, or other costs incurred by attendees in connection with any event changes, postponement, rebranding, or cancellation.

4.5 If Roar Media cancels an event entirely and no replacement or rescheduled event is offered, attendees may be entitled to a refund limited to the amount paid for the ticket only.

4.6 Where an event is postponed or rescheduled, tickets will automatically transfer to the revised event date unless otherwise notified.



5. Force Majeure


5.1 Roar Media shall not be liable for any delay, disruption, amendment, postponement, cancellation, or failure to perform resulting from events or circumstances beyond its reasonable control, including but not limited to:

  • acts of God,

  • natural disasters,

  • severe weather,

  • flood or fire,

  • war,

  • terrorism,

  • civil unrest,

  • strikes or industrial disputes,

  • epidemic or pandemic,

  • public health emergencies,

  • government restrictions,

  • travel disruption,

  • utility failure,

  • venue unavailability,

  • supplier failure,

  • cyber incidents,

  • or any other force majeure event.

5.2 In such circumstances, Roar Media reserves the right to:

  • postpone the event,

  • change the venue or format,

  • deliver the event virtually,

  • amend the programme,

  • issue event credits,

  • or otherwise modify event arrangements as reasonably required.



6. Attendance and Admission


6.1 Roar Media reserves the right to refuse admission or remove any attendee without refund where their behaviour is deemed:

  • disruptive,

  • abusive,

  • threatening,

  • discriminatory,

  • harassing,

  • unsafe,

  • intoxicated,

  • unlawful,

  • or otherwise inappropriate.

6.2 Attendees must comply with:

  • venue policies,

  • health and safety procedures,

  • security checks,

  • accreditation requirements,

  • and all reasonable instructions issued by Roar Media staff, venue personnel, or security providers.

6.3 Roar Media reserves the right to conduct identification or security checks where appropriate.

6.4 Attendees remain responsible for their own property and belongings at all times.



7. Event Code of Conduct


7.1 Roar Media is committed to providing a safe, inclusive, respectful, and professional event environment.

7.2 Harassment, intimidation, discrimination, offensive conduct, inappropriate behaviour, or unwanted solicitation will not be tolerated.

7.3 Roar Media reserves the right to remove any individual from the event without refund where behaviour breaches this Code of Conduct.



8. Photography, Filming, and Recording


8.1 Photography, filming, livestreaming, and audio recording may take place at Roar Media events.

8.2 By attending an event, attendees acknowledge and consent to the capture and use of their image, likeness, voice, comments, or appearance in:

  • photography,

  • video recordings,

  • livestreams,

  • broadcasts,

  • promotional content,

  • social media,

  • marketing materials,

  • and archival content.

8.3 Such content may be used worldwide and in any media format by Roar Media and its partners without compensation or further approval.

8.4 Attendees may not professionally record, reproduce, stream, distribute, or commercially exploit event content without prior written consent from Roar Media.



9. Intellectual Property


9.1 All event materials, branding, content, presentations, documentation, recordings, and intellectual property remain the property of Roar Media or the relevant rights holder.

9.2 Event materials may not be copied, reproduced, distributed, modified, republished, or commercially exploited without prior written consent.

9.3 Speakers, sponsors, and exhibitors remain responsible for ensuring they have appropriate rights and permissions relating to materials they provide or present.



10. Sponsors, Exhibitors, and Networking


10.1 Roar Media events are business networking environments.

10.2 Where attendees voluntarily engage with sponsors, exhibitors, or partners — including through:

  • badge scanning,

  • QR code scanning,

  • networking apps,

  • lead retrieval systems,

  • sponsored sessions,

  • surveys,

  • competitions,

  • or information requests,

attendee information may be shared with those organisations in accordance with the Roar Media Privacy Policy.

10.3 Roar Media is not responsible for the products, services, advice, representations, or conduct of sponsors, exhibitors, or third parties.



11. Data Protection and Privacy


11.1 Personal data shall be processed in accordance with the Roar Media Privacy Policy.

11.2 By registering for or attending an event, attendees acknowledge that their personal data may be processed for:

  • event administration,

  • networking,

  • analytics,

  • security,

  • marketing,

  • and related commercial purposes.



12. Event Technology


12.1 Roar Media events may use technologies including:

  • event applications,

  • matchmaking platforms,

  • QR code systems,

  • RFID or NFC badges,

  • attendee engagement platforms,

  • and virtual event tools.

12.2 These technologies may be used to facilitate networking, attendance tracking, analytics, and event functionality.



13. Health and Safety


13.1 Attendees must comply with all applicable health, safety, and security requirements.

13.2 Roar Media reserves the right to introduce additional safety measures where reasonably necessary.

13.3 Attendees participate at their own risk and are responsible for ensuring they are medically and physically fit to attend.



14. Liability


14.1 Roar Media shall not be liable for:

  • loss of profit,

  • loss of business,

  • loss of opportunity,

  • loss of data,

  • indirect or consequential losses,

  • travel or accommodation expenses,

  • personal property loss,

  • or any costs beyond the ticket value.

14.2 Roar Media’s total aggregate liability relating to any event shall not exceed the total amount paid by the attendee for the relevant ticket.

14.3 Nothing in these Terms excludes liability for:

  • death or personal injury caused by negligence,

  • fraud or fraudulent misrepresentation,

  • or any liability that cannot lawfully be excluded.



15. Third-Party Views and Content


15.1 Opinions expressed by speakers, sponsors, exhibitors, or attendees are their own and do not necessarily reflect the views of Roar Media.

15.2 Roar Media does not guarantee the accuracy or completeness of third-party presentations, materials, or statements.



16. Accessibility and Special Requirements


16.1 Roar Media will use reasonable endeavours to accommodate accessibility or dietary requirements where notified sufficiently in advance.

16.2 Requests should be communicated as early as possible prior to the event.



17. Governing Law and Jurisdiction


17.1 These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

17.2 Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
